Primary Responsibilities:
- Help oversee and execute interdepartmental processes using Monday.com by updating boards, managing deadlines as per project timelines.
- Assist in planning and preparing production schedules, run-of-shows, booking logistics for events, inventory management, permit & credit applications, independent contractor management, and vendor management through SLA’s.
- Lead the implementation and management of all warehouse inventory including but not limited to client activations, owned assets, and general production gear.
- Serve as a project manager for specific assigned client projects.
- Organize important incoming information with the Technical Director, prioritizing tasks and assisting with communication out to pertinent channels.
- Work with the Director of Operations to maintain open and concise channels of communication between the Brand Engagement Team, other a21 internal verticals, vendors, and clients.
- Research viable and cost-effective solutions pertinent to new and existing brand activations while working with the Technical Director to source materials, equipment rentals, and other key services related to the successful execution of an event.
- Entering and updating AP/AR logs by posting invoices, entering expenses onto managed budgets, requesting invoices, and working with the Finance Department/Director of Operations to ensure a healthy and punctual financial schedule.
- Prepare contracts, proposals, creative decks, and estimates for prospective projects working with the VP of Brand Engagement, Technical Director, and Director of Operations.
- Maintain and update existing department production schedules ensuring Corporate Operations and Finance are notified when new projects are created, existing projects shift/change or are cancelled.
Skills + Qualifications Needed:
- 2+ years of program/account management experience including the handling of budgets planning and forecasting
- Creative problem solving & critical thinking skills.
- Detail-oriented and very organized.
- Ability to perform under pressure managing to strict deadlines.
- Works well with a hybrid & remote team.
- Experience in events/event production a plus.
- Software Suite Experience: Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams, etc.), Canva, Adobe Suite (Acrobat, Illustrator, etc.), Monday.com.
- Flexibility to travel throughout the year including weekends.
- Education: Bachelor’s degree is required.
