THE JOB
The Operations Coordinator works alongside the Director of Operations,
Operations Manager, and the Operations Department as a whole to provide administrative support for all department functions. This position is office based and low travel.
What This Role Will Do
- Work alongside the Director of Operations on calendar management, travel planning, expense reports, researching projects, and preparing presentation materials
- Provide support to full-time Operations Department staff for travel and entertainment expense reports and American Express P-Card reconciliation
- In collaboration with the Operations Manager, provide administrative support to the Operations Department for festival temporary employee payroll and onboarding, including coordination of offer letters, payroll setup, and staffing management
- Administer annual contracts and payments with overarching vendors, including tracking multi-show agreements and ensuring adherence to price locks where applicable
- Schedule, organize, and record minutes for recurring Operations Department meetings
- Support the Operations Manager with all departmental administrative functions across systems and processes, including contracting, payroll, PO processing, festival advance platform development, and training staff on these systems
- Work with the Operations Team to develop and refine standardized processes related to the administrative needs of the department
- Coordinate with the Director of Operations, Operations teams, and event leads to compile and report all energy usage ESG data to Live Nation Corporate
- Work with the Director of Operations to research local and sustainable sourcing solutions for materials, food, and beverages, and to develop guidelines and verification checklists that reward performance, driving positive change
- Research and help develop strategies to continue reducing landfill waste and eliminating single-use materials across festival sites
- Provide specific event-related support as directed by the Director of Operations and Operations Manager
- Perform other duties as assigned
What This Person Will Bring
- 3-4 years of experience in event management and operations
- Strong attention to detail, along with excellent organizational, administrative, and time management skills
- Proven project coordination skills, including the ability to plan effectively, meet deadlines, and respond to team needs in a timely manner
- Proficient in Microsoft Office Suite, with the ability to quickly learn additional workflow platforms; experience with Airtable and/or Asana is a plus
- Ability to thrive in a high-demand, fast-paced, and constantly evolving environment; must be able to think clearly under pressure, multitask, and solve unexpected problems
- Ability to be punctual and meet deadlines
- Excellent written, verbal, and interpersonal communication skills, with a personable and professional disposition and the ability to effectively communicate with all levels of staff, vendors, and clients
- Positive attitude
- Willingness and ability to travel as needed
- Flexibility in work hours and availability, especially during festivals and major projects, including evenings and weekends for extended periods
