In addition to our winter season and award-winning Learning & Engagement Programs, La Jolla Music Society also produces SummerFest, a renowned four-week chamber music festival featuring world-class artists and ensembles performing an array of concerts and programs curated by SummerFest Music Director, Inon Barnatan.
Summary
La Jolla Music Society (LJMS) seeks a highly organized and detail-oriented individual to serve as the Artistic Rentals Coordinator / Assistant Front of House (FOH) Manager. This full-time position plays a key dual role: coordinating the advancement and on-site execution of rental events at The Conrad Prebys Performing Arts Center and assisting in FOH operations for select LJMS performances and events.
As the primary liaison for non-Resident Company rental clients following contract execution, this role ensures seamless communication, logistical planning, and day-of event coordination, working closely with internal departments and external vendors. As the Assistant FOH Manager, this position will help with front-of-house staffing, logistics, and audience services at LJMS institutional events—such as SummerFest, galas, and learning and engagement programs.
Job Description
Rental Event Advancement & Execution – 70%
- Serve as the primary contact for nonResident Company rental clients after contracts are finalized, working closely with the Assistant Production Manager and under the supervision of the Artistic Rentals & Partnerships Director.
- Coordinate logistics and communications across departments to ensure rental events are planned and executed smoothly.
- Work with production, technical, facilities, box office, and marketing teams to assist with all aspects of event setup, staffing, ticketing, and client needs.
- Manage rental documentation and schedules, including production timelines, equipment arrangements, and billing details.
- Lead the event advance process by confirming technical requirements and aligning all stakeholders.
- Provide onsite coordination during assigned rental events, overseeing vendor loadin, client communication, and realtime troubleshooting.
- Assist with postevent followup and financial wrapup, including reporting and invoicing.
Front of House Coordination – 30%
- Support the Front of House Manager during select LJMS events, including concerts, education programs, institutional gatherings, and onsite galas.
- Serve as FOH lead or assistant for approximately 12 performances per month, ensuring a welcoming and wellorganized experience for patrons.
- Assist with staffing and logistics during multiweek events such as SummerFest, working jointly with frontofhouse and production teams.
- Step in to manage FOH operations when needed, maintaining high standards of service and communication.
- Act as a liaison between frontofhouse and administrative teams, helping to streamline operations and event logistics.
- Contribute to postevent reporting by preparing and dispersing house reports.
QUALIFICATIONS
- Strong organizational, communication, and multitasking skills.
- 23 years of experience in event coordination, production management, venue operations, or frontofhouse services.
- Comfortable working with multiple departments and external clients in a fastpaced environment.
- Familiarity with ArtsVision, Tessitura, or similar platforms is a plus.
- Experience with performing arts organizations, union crews, or highprofile clientele preferred.
- Ability to work nights and weekends, as required by the event schedule.
