Job Title: Festival Operations Assistant
Job Summary:
We are seeking a motivated and detail-oriented Festival Operations Assistant to support the planning, setup, execution, of our upcoming festivals. This role is crucial in ensuring smooth operations across all event operational aspects, including inventory coordination, logistics, vendor coordination, scheduling and coordination across departments. The ideal candidate thrives in fast-paced environments, has excellent problem-solving skills, and is passionate about live events.
Key Responsibilities:
Pre-Festival Preparation:
• Assist with logistical planning, vendor procurement, scheduling and coordination.
• Assist with vendor procurement, vetting out vendors, vendor insurance.
• Maintain inventory of production equipment, signage, and supplies.
• Coordinate travel and accommodations for site operations staff.
• Help develop event timelines, production schedules, and site maps.
On-Site Festival Duties:
• Assist with load-in, setup, and breakdown of festival infrastructure, including staging, tents, and signage.
• Act as a liaison between production teams, vendors, and performers to ensure seamless operations.
• Monitor event areas to troubleshoot and resolve any production or logistical issues in real time.
• Provide general support.
• Ensure safety protocols and emergency procedures are followed.
Post-Festival Responsibilities:
• Oversee strike and load-out, ensuring proper breakdown and storage of festival equipment.
• Assist in post-event evaluations, collecting feedback from teams and vendors.
• Help with final inventory checks and reconciliation of production materials.
Qualifications & Skills:
• Experience in event operations and production is preferred but not required.
• Strong organizational and multitasking skills with attention to detail. Must be HIGHLY organized.
• Ability to lift and carry up to 50 lbs and work long hours in outdoor environments.
• Excellent communication and problem-solving abilities.
• Comfortable working under pressure and adapting to last-minute changes.
• Proficiency in Microsoft Office, Excel and Google Sheets.
• Passion for live events, music, arts, and culture.
Work Conditions:
• Must be available to work flexible hours, including evenings, weekends, and holidays.
• Requires physical labor, prolonged standing, and exposure to various weather conditions.
• Travel may be required depending on the festival location(s).
