JOB TITLE: Travel Operations Coordinator
ROLE DESCRIPTION: This position is a contracted hybrid role, with the opportunity to become a full-time role in the future. This role will be required to travel on tour with one of our biggest clients, running the day-to-day operations of a large travel program.
LOCATION: Denver, CO preferred, otherwise remote w/ significant travel.
DURATION: March 1st-July 1st 2025. There is a possible opportunity for this role to become full-time after July 1st 2025.
COMPENSATION: Monthly retainer + per diems while traveling.

THE ROLE
Reporting to the VP Travel & New Business, the position of Travel Operations Coordinator is very much the glue that holds together the day-to-day running of our travel package operations.
Responsibilities include but not limited to:
Advance
- Liaising with hotels, venues and vendors on program operations and logistics
- Creating event operations documents
- Guest hotel reservation revisions and audits leading up to the event
- Ordering merchandise, supplies, and equipment
- Organizing freight logistics across travel package dates
- Booking program travel logistics for yourself and staff as needed
- Booking local staff to work will call and shuttles
- Advance ticket pick up and settlement with venue box office
- Analyzing ticketing data and creating will call lists
- Assist with Guest Services in advance of each event
- Advance shuttle transportation logistics in select markets
- Organizing information for guest communications
- Creating a daily operations timeline for each event
On-Site Operations
- Act as a representative of SUPER to on-site contacts including hotels, venues, box offices, shuttle companies and others as required
- Inventory and sort event merchandise shipments
- Pick-up tickets in preparation for will call
- Prepare and execute the on-site will call operation
- Onboarding local staff and on site training
- In-person customer service throughout the event
- Resolving issues on the fly as required
- Program Reconciliation & Settlement
- Create event recap reports at the conclusion of on site operations
- Review guest surveys before guest distribution
- Work with the finance team on reconciling on site program expenses
CANDIDATE SPECIFICATIONS
- Candidates should have a minimum of 2-3 years industry experience and be highly confident leading large projects and teams. Experience across international markets would be highly advantageous.
