The Aspen Music Festival and School seeks an Executive Assistant and Campaign Administrator to join our team as an essential member, providing administrative support to AMFS’s leadership and Board of Trustees at an important time in the organization’s history and future planning.
As Executive Assistant, this position is responsible for managing the President’s daily operations, providing administrative support for the organization, and coordinating a variety of events and the organization’s Board of Trustees. The individual has responsibility for a wide variety of important, complex, and sensitive administrative assignments and is essential to the efficient execution of institutional priorities.
As Campaign Manager, this individual will play a crucial role in executing a major fundraising endowment and capital campaign while liaising between the AMFS’s leadership and the Board of Trustees. This position requires a strategic thinker with strong interpersonal skills and a passion for excellence in music education and performance.
Responsibilities (Executive Assistant)
- Schedule and manage the President’s calendar, proactively balancing time zones.
- Coordinate all aspects of the Board of Trustees and the Corporation, including weekly communication with the Board Chair, meeting agendas and materials for six annual meetings, minutes, communications, and rosters, including tracking term limits and engaging Board and Corporation prospects.
- Plan logistical aspects of Board meetings, including managing meeting notices and responses, and securing spaces, technology, refreshments, etc.
- Coordinate and take minutes for various Board meetings, including Executive and Governance committees and more.
- Facilitate the orientation of new Board members.
- Assist with correspondence on behalf of the President and Board Chair
- Manage special projects, such as staff and Board retreats, and collaborate with Senior Staff to implement and report on the strategic plan.
- Attend and record minutes at weekly Senior Staff meetings and coordinate all staff meetings.
- Coordinate and execute the President’s special projects and events, including staff, faculty, and Board parties, and preparing presentations and remarks.
- Coordinate internal and external meetings with the President and document actions and outcomes.
Responsibilities (Campaign Administrator)
- Along with the VP for Advancement, support the President and Campaign Steering Committee in realizing the campaign vision, case for support, and philanthropic investment opportunities.
- Facilitate best-practice campaign planning methodology and communications.
- Coordinate solicitation conversations and meetings in collaboration with the President and other Senior Staff members as needed.
- Support the VP for Advancement in developing and implementing cultivation and solicitation strategies for signature campaign initiatives.
- Draft gift proposals and agreements for donor review.
- Plan and support campaign events in collaboration with Advancement staff members, in person in Aspen or other locations.
- Partner with the VP for Advancement and marketing and communications team in shaping, supporting, and sharing AMFS’s story, and in developing branding, marketing, and advertising materials.
- Be a resource for identifying and researching potential board and volunteer connections and campaign prospects.
Qualifications and Skills
- Bachelor’s or master’s degree preferred.
- Minimum of 3 years’ experience providing administrative support to executives/boards.
- Strong knowledge of arts administration and/or classical music, office management, and executive management.
- Strong writing skills, proficiency with SharePoint (Outlook, Word, PowerPoint, Excel) and other databases, such as ArtsVision and Raiser’s Edge.
- Ability to work independently, perform effectively, and prioritize in a fast-paced and dynamic environment.
- Handle sensitive or difficult situations while maintaining confidentiality.
Salary and Benefits
- Salary range for this full-time position is between $68,000 and $75,000.
