About Punk Rock Masters:
Punk Rock Masters is an exciting rock climbing and music festival set on the sands of Huntington Beach. Blending high-energy climbing competitions with punk rock music, the event promises a unique, unforgettable experience. We are seeking a proactive, detail-oriented Assistant Event Coordinator to lead many aspects of event logistics while supporting the Event Director with essential administrative tasks.
Job Summary:
As the Assistant Event Coordinator, you will manage key planning and operational responsibilities for the festival while supporting the Event Director with organizational and administrative duties. You will help ensure seamless execution from preparation to wrap-up, balancing leadership in event management with providing essential behind-the-scenes support.
Key Responsibilities:
• Event Coordination:
• Find and secure Vendors
• Manage logistics, including vendor communication, permits, and schedules.
• Oversee event setup, operations, and breakdown during the event.
• Liaise with internal teams and external stakeholders to address on-site needs.
• Administrative Support:
• Assist the Event Director with creating and maintaining key documents (e.g., balance sheets, timelines, and task lists).
• Fine-tune spreadsheets, project plans, and reports for accuracy and clarity.
• Provide regular updates and progress reports.
• Collaboration:
• Work closely with the Event Director to ensure milestones and deadlines are met.
• Troubleshoot and resolve issues during planning and on-site execution.
Preferred Qualifications:
• Proven experience in event management, coordination, or a similar role.
• Strong organizational and multitasking skills.
• Proficiency in Google Suite (Docs, Sheets, Slides).
• Exceptional communication and problem-solving abilities.
• Ability to adapt quickly to changing priorities and environments.
• Enthusiastic about creating memorable experiences in a fast-paced setting.
Hours & Schedule:
This role will expand as the event date nears:
• Initial Phase (10-6 months out): 10-15 hours per week, focused on early planning and administrative support.
• Intermediate Phase (6-3 months out): 15-20 hours per week, managing logistics and assisting with documentation.
• Final Phase (2 months out): 20-30 hours per week, potentially full-time, to oversee preparations and support final tasks.
• Event Phase: Full-time during the event for on-site management and support.
• Post-Event Phase: Approximately 10-30 hours per week for wrap-up tasks, including feedback collection and reporting.
